Description
Job Summary:
Provides support for the service through independent scheduling of surgical procedures at Kaiser Permanente Hospitals and Clinics as well as Affiliated Hospitals and Medical Offices as indicated and monitor data relative to the utilization of the Operating Room and clinic time in relation to inpatient and outpatient surgery. This information is utilized by department administration. Acts as a liaison for physicians, clinic staff, operating room staff and procedure room staff regarding policies, procedures and actual schedule information.
Essential Responsibilities:
- Work closely with physician and staff to formulate and coordinate the physician operating room schedule. Work with Regional Surgical Services to organize the schedule to assure adequate block time utilization for elective surgeries in the surgery scheduling platform.
- Schedule urgent and emergent surgeries as necessary. Coordinates with the appropriate hospital operating room staff or the ambulatory surgery centers to obtain operating room time. Notify medical staff and other personnel of schedule changes.
- Answer, greet, problem-solve and direct incoming calls. Record messages and distribute to relevant staff members. Relay information by phone, pager, overhead paging, or recognized method of staff messaging.
- Coordinate appropriate specialized surgical equipment and supplies as needed.
- Performs other duties as assigned.
- Enters and/or pends all required pre/post-op written or protocol orders for diagnostic tests, referrals and medications. Schedules pre and post clinic visits and other requirements as directed by the providers.
Experience
- Minimum of 2 years of experience in an ambulatory surgical setting or in an acute care setting in the last 5 years.
- Per the National Agreement, current KP Coalition employees have this experience requirement waived.
Education
- Graduate of a Medical/Dental certificate /degree program or other degree program of at least one year duration or employed as a Kaiser Permanente Medical Assistant for minimum of 1 year in that capacity. Or 2 years previous Surgery Scheduler experience.
License, Certification, Registration
- Basic Life Support within 1 months of hire
Additional Requirements:
- Record of passing Medical Terminology and Anatomy and Physiology courses.
- Demonstrated interpersonal and customer service skills (pre-employment assessment required for external candidates from January 2015 forward).
- Demonstrated communication (written and oral) skills.
- Demonstrated literacy in using computers and keyboarding.
- Skills in problem-solving, setting priorities and using good judgment for decisions.
- Ability to work independently and efficiently under pressure.
- Strong knowledge of medical terminology.
- Ability to track several critical tasks simultaneously
Preferred Qualifications:
- Experience with an operating room scheduling system
- Familiarity in documenting in an electronic medical record system
- Basic knowledge of specific scheduling medical office procedures for surgical specialty
- Multiple line telephone knowledge
- Computer literate with the appropriate automated systems. For example; MS Office, WINDOWS, EPICARE.
- High School Diploma or General Education Development (GED).
